Background
ACC Environmental Consultants is a California-based 30-person environmental consulting firm with offices in Oakland and Los Angeles. The firm provides asbestos, indoor air quality and lead-based paint inspections and abatement oversight services. Employee are required to hold various EPA and Cal/OSHA certifications and registrations to perform these services. In addition they are required to wear respirators and participate in a medical surveillance program.
The Problem
The 20 field people hold an average of 5 certifications each and all of the certifications require annual refresher training. As a result, tracking renewals and ensuring everyone has appropriate training, tracking respirator issuance and annual fit testing and annual physicals was an ongoing challenge for the Human Resources (HR) Manager.
The Solution
The company purchased and implemented the SMART 7.0 modules for Training Management, Health and Safety Management, and HR Management.
Training Management: All the current staff training requirements and completed courses were entered into the system. In addition, all certifications were scanned and stored for recordkeeping purposes. SMART is used to generate training status reports on a monthly basis so the HR manager can schedule required training for each employee before it expires. SMART also enables the HR Manager to easily notify employees of their scheduled upcoming training classes. When a project calls for staff with special training requirements, the HR manager can search the database and easily find all staff meeting the training requirements before they are assigned to a project.
Respiratory Protection Program Management: Respirator fit test certificates are printed from the system when in-house respirator fit testing occurs. The system also reminds the HR manager when annual respirator fit testing is required and prints and stores fit test certificates.
Medical Surveillance Program Management: The SMART system stores scanned medical reports for each employee and notifies the HR Manager when annual physicals are due.
SMART is helping ACC reduce risk, improve employee health and safety, maintain compliance with OSHA requirements and ensure only qualified and trained individuals are assigned to projects.
